Walk to Tuk Privacy Policy

Your privacy is very important to us. The purpose of this privacy policy, as outlined in the following questions and answers, is to describe the types of personal information collected for  Walk to Tuk, how that information is used, and the steps taken by Walk to Tuk staff to ensure the privacy and security of your information. 

Any changes to the Walk to Tuk privacy policy will be posted on this page. Please review this page to remain up to date with the information we collect, how we use it, and under what circumstances we may disclose it.

1. What information does Walk to Tuk collect?

Walk to Tuk collects both personal information and other information when you use our website.  

Personal information refers to any information about an identifiable individual.  In the context of Walk to Tuk, this may mean your name, mailing address, phone number, email address, age group, gender identity, indigenous identity, t-shirt size, and images.

We also collect non-personal information, such as a domain name and IP address. The domain name and IP address reveal nothing personal about you other than the IP address from which you have accessed our site. We also collect information about the type of Internet browser you are using, your operating system, and which of our webpages you have accessed.

2. How and when does Walk to Tuk collect this information?

Walk to Tuk collects personal information from you when you provide it to us. For example, if you register for Walk to Tuk, we may collect your name, mailing address, telephone number, email address, age group, gender identity, indigenous identity and t-shirt size in the registration process. Additional information may be collected as you use the Walk to Tuk website including your activity times, photographs, and any personal information you include when using the messaging function. If you do not consent to the collection and use of your personal information as set out in this policy, you can choose to not register for Walk to Tuk. 

If you communicate with us regarding Walk to Tuk, we will collect the personal information that you provide to us in any such communication for the purposes set out in this policy. 

3. How is my information used?

Your personal information is collected and used by Walk to Tuk only for reasonable internal purposes associated with the delivery of the Walk to Tuk program. Such purposes include communicating with you about the program, including about prizes, evaluating and improving the Walk to Tuk program, and evaluating and improving the Walk to Tuk website. 

The NWTRPA is committed to improving the accessibility of recreation programs so that all residents can choose to participate in active living. Collecting this information helps us to see whether people of all ages, genders, and ethnic backgrounds are accessing recreation opportunities in the NWT.

In the event that Walk to Tuk intends on using your personal information for a purpose other than the delivery of the Walk to Tuk program, we will contact you to obtain your consent. 

We use non-personal information for internal purposes, such as maintaining, evaluating, and improving the Walk to Tuk website. Walk to Tuk does not attempt to match IP addresses to identifiable website user(s) unless Walk to Tuk is required by law to do so for the purpose of investigating suspected illegal behaviour.

4. How secure is my information?

Walk to Tuk takes all commercially reasonable steps to protect your personal information from unauthorized access, use, or disclosure. Security measures have been integrated into the design, implementation, and day-to-day operating practices of the organization and the website as part of our commitment to protect the personal information that Walk to Tuk holds.

The security measures used include electronic, physical, and organizational.

The Walk to Tuk website follows generally accepted industry standards to electronically protect the personal information submitted to us, both during transmission and once we receive it. However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

All of the personal information gathered for Walk to Tuk is held electronically with the exception of the lists generated to sort and distribute t-shirts. T-shirt lists include the names and t-shirt sizes of team members who requested t-shirts. These ultimately end up with the team captain. Team lists with captain names and contact information are used for arranging distribution and then disposed of using a shredder.

Access to the personal information of Walk to Tuk participants is controlled by internal NWTRPA policies and is limited to the Walk to Tuk program staff, which consists of the Executive Director, Director – Active Communities, the Active Communities Coordinator, and the Membership & Communications Coordinator. 

Your personal information is kept only for the length of time necessary to fulfill the purpose for which it was collected.

Upon request, your user account and all of the data associated with your account can be deleted.

5. Does the Walk to Tuk website use cookies?

The Walk to Tuk website (www.walktotuk.com) does not use cookies. However, the Walk to Tuk web app (www.user.walktotuk.com) does use cookies. 

A cookie is a small piece of data that is sent to your internet browser from a web server and stored on your computer’s hard drive. Cookies are often used to provide you with a customized experience. At no time is any personal information stored within one of our cookies. Accepting cookies through your browser is your choice. You can still enjoy our web app if you choose not to accept cookies. You may chose to visit the web app using incognito or private browsing.

6. Will Walk to Tuk disclose the information it collects to outside third parties?

We do not provide your personal information to unrelated third parties for any reason except as required by law. 

7. Does this privacy policy apply when I access third-party websites?

You may be able to access third-party websites directly from the Walk to Tuk website. This privacy policy does not apply when you access such websites. Walk to Tuk cannot control how third parties may use personal information you disclose to them.  You should carefully review the privacy policy of any third-party website you visit before using it or disclosing your personal information to its provider.

8. Who can I contact if I have any concerns about this policy?

Walk to Tuk has a privacy officer, who is responsible for the development and implementation of all necessary rules and procedures for the collection, use, disclosure and retention of personal information, including personal information provided by participants through the Walk to Tuk website. The privacy officer ensures compliance with the Walk to Tuk privacy policy and all applicable privacy legislation.
